Preparation

Before the session starts

Brief the speakers

Remind all speakers of the strict timing rules and their allocated presentation duration before the session begins.

Welcome and introduce

Welcome the audience and introduce:

  • The session title
  • Yourself and your co-chairperson or co-moderator
  • The timing rules and Q&A format
  • The audience housekeeping rules

Explain how Q&A works

Invite delegates to ask questions using the on-floor microphone or submit them through Slido by scanning the QR code displayed on screen.

Begin the session

Introduce each speaker in the programme order and keep the session moving according to schedule.

During the session

Q&A and timekeeping

Managing Q&A

Facilitate questions from the floor or read submitted questions from Slido, if time permits.

If the session has reached its allocated end time, announce that Q&A will be skipped and proceed to close the session.

Speaker running over time

Politely invite the speaker to conclude the presentation within one minute.

“Thank you, Professor/Doctor. May I kindly invite you to wrap up your presentation within the next minute?”

To announce before the session

Housekeeping rules for the audience

General Etiquette

  • Please silence all mobile devices.
  • Refrain from talking during presentations.
  • Keep aisles and exit pathways clear at all times.

Recording & Photography

  • No unauthorised recording or photography unless stated otherwise.
  • Media representatives and official photographers are permitted.

Programme Flow

  • Sessions will begin and end on time.
  • Speakers must adhere to their allocated presentation time.
  • Raise questions using the on-floor microphone or through Slido by scanning the QR code on screen.

Emergency

  • In the event of an emergency, follow venue staff instructions and proceed calmly to the nearest exit.✓
